AI implementation for repetitive work

Stop moving work between tools by hand.

Your team copies the same data and sends the same reminders. 3Fold maps that workflow and then builds the software that handles the repeating part.

Signs a workflow is ready

Pick the one that costs your team the most hours.

  • CopyingSomeone enters the same data in two tools.
  • RemindersA reminder goes out only when someone remembers it.
  • Status checksA manager opens three screens to see what changed.
  • ReportsA weekly report is assembled by hand from several tools.
  • SortingRequests land in one inbox and a person sorts each by eye.
  • HandoffsWork waits because only one person knows the next step.

We map the workflow before we build anything

We start with the steps a person takes today. We write them down and find where work waits, repeats or goes missing.

Then we redesign the workflow. Some steps disappear. Some move to software. Some stay with a person.

You read this map in writing before you pay.

The parts we choose from

We match each step to the simplest part that works.

  • ConnectionsMove data between your tools so nobody enters it twice.
  • RulesApply your own logic. For example, who approves a discount above a set amount.
  • Scheduled checksLook at a site, record or inbox on a timer and note what changed.
  • A databaseKeep one record of what happened and when.
  • A viewShow a manager what needs attention in one place.
  • AlertsTell the right person when something needs them.
  • An AI stepRead messy text, draft words, sort unclear cases or summarize. We add one only where plain software cannot do the step.

What gets automated first

Four examples of the repeating work 3Fold can take over.

Example

New lead to first reply

An inquiry lands in email and waits for a person to notice it.

  1. ConnectsAn integration copies the inquiry into your customer list.
  2. RuleA rule checks how long it has waited.
  3. AI stepA model drafts a first reply.
  4. PersonA person edits the draft and sends it.

Example

Sorting incoming requests

One shared inbox receives orders, questions and complaints. A person sorts each by eye.

  1. AI stepA model reads each message and picks a category.
  2. RuleA rule routes each category to its owner.
  3. AlertAn alert tells the owner.
  4. ViewUnclear cases land in a short list for a person to decide.

Example

Renewal reminders

Renewal dates live in a spreadsheet. A reminder goes out when someone checks.

  1. ConnectsAn integration reads the renewal dates.
  2. RuleA rule finds the renewals coming due.
  3. AlertA drafted reminder waits in the owner’s queue.
  4. PersonThe owner approves it.

Example

Month-end reporting

The numbers sit in billing, the CRM and a spreadsheet.

  1. ConnectsIntegrations read all three.
  2. RecordA database keeps each month’s figures.
  3. AI stepA model writes a short plain summary.
  4. PersonA person checks it and sends it.

What stays with a person

Outside messages wait for a person to approve them unless the written scope says otherwise.

Each build lists the points where a person must approve and what happens to exceptions. You read that list before you pay.

What we ask of you

  • Someone who knows the stepsA person who runs the workflow today and can answer our questions in writing.
  • Two or three toolsWe ask only for the access the build needs. Read only wherever the tool allows it.
  • ExamplesA few screenshots, files or a short written procedure show us how the work looks.
  • Your rulesWho approves what and what counts as an exception.
  • Safe accessDo not send passwords in a form or an email. We use the safest path each tool offers.

One workflow. One price.

The $5,000 covers mapping, building and handing over the repeating steps of one workflow.

$5,000

One price. No subscription. No sales call.

To start

$2,500

Paid when you approve the scope. We start building.

At acceptance

$2,500

Paid when the automated steps are ready for you to accept.

What the $5,000 covers

  • The workflow map and redesign
  • Up to 2 or 3 of your systems, connected where access allows
  • Rules, checks and alerts
  • An AI step where reading or drafting needs one
  • Testing and deployment
  • Documentation and handoff
  • Reasonable revisions inside the scope

A request with more than three systems gets a written review before any payment.

Questions

What if two of my tools do not connect?

Access is part of our check. If a tool offers no usable connection we say so in writing before you pay.

Will the software act without asking me?

Software can move data and run checks on its own. Outside messages wait for a person to approve them unless the written scope says otherwise.

How is this different from connecting two apps myself?

A single connection moves data between two tools. An implementation also covers the workflow design and the rules. It adds checks, testing and a written handoff.

Do you replace my current tools?

Usually no. We build around the tools your team already knows.

Can you automate more than one workflow?

Each implementation covers one workflow. Several workflows in one request get a written review first. Later work is quoted apart.
